About this Opportunity

When meeting in person, it is essential for units to have a safe, desirable location to gather. The Unit Space Coordinator will provide specialized support to unit space. In this role you will contribute to positive girl experience by working to ensure units are supported with locating and securing suitable space for unit meetings. You will report to the Team Lead, Unit Spaceand work alongside key internal stakeholders across the organization.

Responsibilities include:

  • Working with various external partners (i.e., school boards, community centres, local businesses) to research and submit permit applications to secure unit space (indoor and/or outdoor).
  • In collaboration with key internal stakeholders, lead and support the implementation of unit space procedures, following established best practices.
  • Researching and contacting appropriate unit space options and booking unit space for new or moved units.
  • Working alongside Unit Guiders and senior volunteers to determine unit space needs, as well as actively monitoring and supporting these needs.
  • Daily administration related to unit space including cancellations, communicating updates to unit Guiders, permit application timing awareness and member customer service support.
  • Researching corporate partners and creating materials to promote space partnerships
  • Review, maintain, and make recommendations for improvements to the unit space support processes, policies, and tools.
  • Provide ongoing unit space support including record keeping, document management, database maintenance, quality assurance and responding to inquiries to ensure a positive customer service experience.
  • Maintaining a high level of knowledge concerning the membership database (iMIS) to access information and generate reports.

  • A relevant post-secondary degree/diploma in a related field of study or have equivalent experience (e.g., Volunteer Management, Event Planning, Social Sciences, Business Administration).

Reporting to the Manager, Accounting, the Accounting Analyst will prepare, assist, process and perform a variety of specialized duties associated with analyzing accounting needs. 

In this role you will:

  • Prepare daily and monthly bank reconciliations between Web Applications, Sage Accounting System, event reports and bank accounts in connection with the monthly closing process. 
  • Work closely with various members of the accounting and finance teams to follow up on and correct discrepancies.
  • Participate in the preparation and maintenance of process documentation and records management.

Girl Guides of Canada is seeking a Desktop Support Analyst

About this Opportunity

The Desktop Support Analyst reports to the Team Lead, Infrastructure and Network and will collaborate with the IT team to support our users and maintain our IT systems with a focus on laptops, desktop, and mobile devices. The successful candidate will be skilled and up to date with the latest IT trends.

In this role, you will:

  • Setup and deploy, redeploy, repair, and maintain laptops and desktops.
  • Onboarding, changes and offboarding of users from our IT systems according to GGC procedures.
  • Ensure all desktops and laptops are patched in a timely manner.
  • Monitor ticketing system, ensure tickets are appropriately assigned and responded to within target times.
  • Monitor quarantine taking care to identify and release only legitimate emails.
  • Office 365 user administration.
  • Tracks, and keeps current a database of IT Assets; a hardware and software inventory shared with the IT team
  • Learn and maintain skills and qualification for IT systems used by GGC.
  • Coordinate with the facilities team to safely ship (and receive) devices to (and from) our end users
  • Monitor manage engine desktop central to pre-emptively address problems with endpoint devices (e.g. low disk space, missing/failing updates, disk errors).
  • Monitor the health of onsite network and server equipment and internet connections.
  • Diagnoses and resolve minor network issues.
  • Contribute to revisions of procedures and guidelines relevant to the role.
  • Help ensure use of IT systems are in compliance with IT policy, standards, procedures, guidelines
  • Monitors GGC ticketing system, ensuring timely resolution and that these are closed once completed. Follow escalated tickets to ensure these are completed.
  • Monitor IT Partners ticket system and comment with supporting information to help ensure speedy resolution or escalated these to internal ticketing system when required.
  • Provide one-on-one end user support by Zoho assist, MS Teams/phone, e-mail or in person for computer- and equipment-related problems, talking users through procedures to diagnose the source of problems, answering questions about how to use software and e-mail and in operating equipment, communicating in a user-friendly way based on the experience and knowledge level of end users
  • Create and maintain and share knowledge base guides for how to resolve common issues.
  • Prioritizes issues to ensure appropriate response time based on severity. Take responsibility for the quality and timeliness of resolution.
  • Technical support for equipment at camps and other properties.
  • Assist with Office 365 and basic device support for provincial volunteers.
  • Assist the digital adoption and training specialist in developing and providing training when required.
  • Ensures all antivirus/antimalware/MDR, anti-spam are active and maintained on desktops and laptops.

About This Opportunity

As part of the national Marketing and Communications team, the Email Marketing Communications Specialist will report to the Team Lead, Provincial MarComm Support and will work cross-functionally with internal teams to strategize, develop, and manage effective communications, meeting our girls, caregivers, volunteers and potential new members where they are and ensuring they have the necessary information to make the most of opportunities within Guiding.

Roles and Responsibilities will:

Girl Guides of Canada is seeking a Property Caretaker (Permanent – Part time)
Camp Kanada, 600 West Petpeswick Rd, Musquodoboit Harbour, Nova Scotia

About This Opportunity

Reporting to the Legal Specialist (or assigned designate i.e. Property Chair or committee member, in this role, you will be a part of Camp Kanada. As Property Caretaker, your overall goal is to ensure that the properties are in safe working order for the use of members and/or third-party renters.

In this role you will:

  • Work collaboratively with volunteers to ensure that the properties you support are maintained in good working order.
  • Perform regular inspections and make basic repairs when possible.
  • Coordinate and manage third-party contractors to perform tasks that require specialized knowledge and/or experience.
  • Perform annual tasks associated with opening and closing of the property when applicable.
  • Be available on call on weekends or when camp in use during the week for summer camps to respond to emergencies as reported by camp users (or notify HRCMC Chair one week in advance when not available).
  • Ensure camp building is accessible prior to each camp e.g. walkways shovelled and sanded (winter maintenance)
  • Complete a full property inspection after each camp, confirming key returned to lock box(es), forward copy of the rental group’s check-out list, and submit a report of any deficiencies to the HRCMC Oversight immediately after the inspection.
  • Submit a drinking water sample test quarterly, and chemical test biennially, to Twin Oaks Hospital lab using the GGC Client number and account code.
  • Perform annual tasks associated with mechanical and/or equipment maintenance as applicable. 
  • Purchase required supplies within approved spending limits for the camp e.g. sand, tools, lawnmower gasoline, using the GGC Visa and submit receipts to HRCMC Treasurer within 14 days.
  • Other duties as assigned.

General:

  • Adhere to all relevant policies, procedures, and practices.
  • Liaise with other departments as required.
  • Provide general, ongoing support to members/volunteers, responding to/directing inquiries and consulting with the appropriate groups and individuals to support the mission and vision of GGC.

About This Opportunity

The Camp Groundskeeper will be in a highly physical position. This role will be best suited for someone who likes to work outdoors, can work as part of a team, learn from hands-on experience, and learn camp maintenance requirements from the Camp Property Custodian. Interaction with members and employees on-site will be required when the camp is in use.

In this role you will:

  • Provide support to the Property Custodian.
  • Perform outdoor maintenance: cut grass, clear shrubbery, gardening. 
  • Support building management: inspect and monitor buildings and their systems (plumbing, electrical, etc.).
  • Have the opportunity to source contractors for any required professional work as communicated with the Custodian and Property Chair
  • Be involved in general labour work by assisting with special tasks as required (i.e. installing/removing/maintaining the docks). 
  • Have the ability to perform heavy lifting as required.
  • Liaise with Camp Property Committee.
  • Apply organizational policies regarding inclusivity to content, member communication and customer service.
  • Other duties as assigned.

General:

  • Adhere to all relevant policies, procedures, and practices.
  • Liaise with other departments as required. 
  • Provide general, ongoing support to members/volunteers, responding to/directing inquiries and consulting with the appropriate groups and individuals to support the mission and vision of GGC.
  • Other duties as assigned.

Requirements: 

  • Being in close proximity to the camp property
  • Are working towards or have completed education in a related field or have equivalent work experience.
  • Like to work outdoors.
  • Have an understanding of camp maintenance and non-profit work.
  • Have excellent attention to detail and sound analytical skills.
  • Can demonstrate the ability to provide exceptional customer service.
  • Possess excellent communication skills, both verbal and written.

Assets:

  • Familiar with Girl Guides of Canada and/or have experience in the voluntary sector with non-profit organizations.
  • Relevant certifications (water testing certification, chainsaw certifications, working at heights etc.)

Starting Hourly Salary: $21.63 (35 Hours per week) 

Salary based on Sprucedale, Ontario.

Girl Guides of Canada is seeking a Provincial Communications Coordinator (Ontario)

About This Opportunity

As part of the national Marketing and Communications team, the Provincial Communications Coordinator will report to the Team Lead, Provincial MarComm Support and will work cross-functionally with internal teams. Working in partnership with the Ontario Council team, you will support efforts and projects to ensure communications are seamless, concise and always aimed at reaching caregivers, girls, volunteers and external stakeholders however and wherever they get their information about Girl Guides of Canada in Ontario and Nunavut.

Roles and Responsibilities will:

  • In partnership with the Ontario PR Adviser, support the Ontario Council team to develop and deploy messages to members (volunteers and girls) and caregivers/parents including copy editing, providing approved copy for deployment, updating web page content and preparing copy for social media, forms and other collateral as needed.
  • Collaborate with the Ontario Council team to help develop and execute internal/external communications plans and tactics to ensure project deliverables and communications needs for key initiatives and audiences are met.
  • Provide guidance to staff and volunteers on communications best practices, and GGC’s brand standards and style guidelines.
  • Ensure GGC’s brand standards, tone and voice are accurately represented in internal and external communications.
  • Work closely with the Project Coordinator to prioritize and fulfill Ontario’s communications requests to ensure projects are completed in a timely manner.
  • Work closely with other members of the national Marketing and Communications team on Ontario requests as needed.
  • Provide communications support to the Ontario Council team and help troubleshoot issues as they arise.
  • Apply organizational policies regarding diversity, equity and inclusivity to processes, communications and customer service.

Qualifications:

  • Postsecondary degree in related field; marketing, communications, PR, or journalism
  • At least 2 years’ experience in a relevant role
  • Outstanding writing and editing skills, with the ability to transform information for different audiences into clear, engaging content across a variety of communications tools and channels (e.g., print, social media, web, video script, presentations, key messages, etc.).
  • Experience implementing strategic communications plans and tactics across different audiences.
  • Ability to explain communications strategy, tactics and best practices to internal clients and collaborate to achieve positive outcomes.
  • Adaptable, flexible and diplomatic with a degree of comfort to change in projects and priorities.
  • Adept at working collaboratively across a range of teams, including the ability to work with colleagues in remote offices.
  • Excellent time-management skills and can work independently, managing multiple projects with different stakeholders.
  • Thorough understanding of SharePoint, Microsoft Teams and key Microsoft 365 apps/products (PowerPoint, Excel, Word, Planner)

Assets:

  • Knowledge of/experience with Guiding
  • Experience working with a diverse population of community members and/or volunteers within the non-profit sector.
  • French language skills/fluency (and any other language spoken in Canada)
