How do I know what my credit limit is?

The default limit is $300 per unit. If your unit has two purchase card holders, the limit is split to $150 each. Remember purchases that you have made with the purchase card will subtract your available credit.

Example: if you purchase crafts for $75 on the 8th of the month and then $25 for snacks on the 12th, you only have $200 available credit left until the 28th of the next month.

Remember: it is a monthly limit. The purchase card cycle is from the 28th of the month to the 27th of the next month.

How do I request a credit limit increase?

You can request a temporary or a “permanent” credit limit increase. A “permanent” credit limit increase expires at the end of the current guiding year. Requests are reviewed the next business day. In order to be approved for the credit increase, the unit banking account must have sufficient funds to cover the amount requested.

The treasurer completes the Credit Limit Request form, which is available under the "Transactions" drop-down menu in your unit banking account. The purchase card holder will receive an e-mail confirmation of the increase at the email address in the request form within 1 business day for temporary requests and within 1-3 business days for permanent and high amount requests.

How early do I need to submit a credit limit request?

At minimum, the Treasurer should submit the request at least three business days before you need the increase to take effect. For urgent requests, complete the Credit Limit Request form and then contact Unit Banking.

How can I find out the balance on my purchase card?

Sum all purchases (and returns) processed on the purchase card since the 27th of the previous month. Run a balance report (available under the "Reports" drop-down menu of your Unit account) using the 27th of the month as a start-date and the current date as the end-date. Near the bottom of the report, you'll see an amount next to Purchase Cards. Subtract this amount from your credit limit to find out your balance. Any recent purchase card transactions that have not appeared in your account yet will also reduce the credit card balance available.

How do I know what charges have been made on the Purchase Card?

Charges made with the card will show up in your unit bank account, and they need to be allocated. US Bank Canada does have an online facility for you to view your statements; you will have to register for it. To register, go to The US Bank Website. Click on the "Register Online" link and when prompted for your Organization Short Name, enter GGCOC.
