How do Units and Trefoil Guilds in Ontario and Nunavut keep track of their finances?

Every Unit/Trefoil Guild or Independent Trip is required to use the Ontario Council centralized banking system (web-form banking).

How can I access our Unit's/Guild's bank account?

The Treasurer has online access to the bank account through this link. A user name and password is required for access. Other Guiders in the unit may request a Shadow Account which allows for "read only" access.

What is Web-Form?

Web-form is Ontario Council’s centralized banking system. This is where Treasurers log in to see the Unit’s account. This is where they monitor transactions and perform various financial functions to ensure fiscal responsibility.

Why can’t I login to my account?

After three unsuccessful log-in attempts, your account is locked for security reasons. When this happens, your password will be reset and the new password e-mailed to you during normal business hours. The password is sent by the Unit Banking Department; you will not receive a new password on weekends or during the evening.

I’ve logged in and my account has many 2007 transactions that aren’t mine. What do I do?

How can I view the transactions and the balance in the account if I am not the Treasurer?

Treasurers and Unit Guiders should have good communication so that purchases made for the unit are within the year’s budget and the current balance. Non-Treasurer Guiders (not Unit Assistants) may request a read-only (or Shadow) access by contacting the Unit Banking Clerk for their community. The Unit Banking Clerk will set up a Shadow account for the unit and send the password to the Guiders of the unit. The password is reset every summer so that only the current Guiders can see the banking of the unit. When accessing the banking with a shadow account, a balance report can be run and the transactions (expenses and revenues) can be reviewed.
