Event Planning
There are three paths to follow for Ontario Council processes relating to communicating, registration and finances for events. Check the criteria and choose the appropriate path.
Planning an event in Ontario
If your event meets the
criteria, utilize the planning, registration and finance process for events outlined by Ontario Council and an Event Coordinator will help support event administration.
Roles and Responsibilities of Event Planners
Volunteers and staff work in a collaborative manner in order to ensure the success of an event. Learn about the Event Planner (EP) role and the Event Coordinator (EC) role.
Listing local events that don't meet the criteria
If your event is very local in nature and doesn't meet the criteria, you can still
post your event on the Ontario Council Event Calendar for members to see. Do you have questions or need support? Please

Event clothing and artwork approval
All items representing Girl Guides of Canada (such as crests, patches, labels, or clothing) must be approved before they are produced. All event specific merchandise
must include the name and date of the specific event and the full GGC Trefoil logo and may include the event’s theme or logo. Exceptions to this are camp hats, which only require the Trefoil. Events clothing and artwork must conform to trademark requirements and requires
artwork approval. Non-event clothing and merchandise may
not be produced. No merchandise should be produced for external events.

Event Planning: Criteria for Planners
Path 1: Complete the
Girl Event Planning Form if your event meets the criteria for Girl events or Camping events.

Adult Event Planning Form if your event meets the criteria for Adult/Sisterhood events.

Girl Event Criteria
100 or more girls in attendance and/or multi-unit activity OR over $2000 in revenue OR a fundraising* event (approved to generate $2000 in revenue or more)
- Girl focused program or activities
- May be themed to specific girl program component
- Majority of participants are girl members
- One day only (no overnight component)
- Guiders attend to provide supervision ratio as defined in Safe Guide
Camping Event Criteria
100 or more girls in attendance and/or multi-unit activity OR over $2000 in revenue OR a fundraising* event (approved to generate $2000 in revenue or more)
- Girl focused program or activities
- Includes overnight stay (one or more nights)
- Units register with registration fees paid by unit transfer OR individual girls register and registration fees are paid by the parent/guardian (usually March Break or summer camping events)
- Encourage use of GGC property, but you may use other types of venue, e.g. local museum or attraction
- Campership (financial assistance for the girl member) may be available for camping events; your Event Coordinator can help you with the details
Adult/Sisterhood Event Criteria
Over $2000 in revenue OR a fundraising* event (approved to generate $2000 in revenue or more)
- Adult member focused; Rangers may also receive an invitation
- Social or hobby skill building in nature
- Fee for event paid by individual
Examples: scrapbooking weekend or community appreciation dinner
Training Event Criteria (with GGC-TEAM modules only)
The TEAM modules listed below have been approved and are financially supported by Ontario Council.

- Unit Guider Foundation Stream (new Guider or Guider changing branches)
- OAL - Residential, Tenting and Adventure
- Building Strong Teams
- Girls United
- Leading Active Games
- Conflict Management
- Communicating with Girls
- Effective Communications
- Bias Awareness
Support for planning TEAM training events
Enrichment Event Criteria (may include GGC-TEAM modules, and must have additional content)
- Over $2000 in revenue OR a fundraising* event (approved to generate $2000 in revenue or more)
- Combine the social aspects of sisterhood events with the professional development aspects of training events
- Adult member focused; Rangers may also receive an invitation
- Fee for event paid by individual
Example: sessions include a number of hobby skill building sessions, off-site activity and educational skill building sessions. Some of the sessions may include TEAM modules
Training Events – Certification (external provider)
- Adult member focused; Rangers may also receive an invitation
- Fee for event paid by individual
- GGC adult member is organizing or facilitating the training
- Certificate provided upon completion of training
Examples: First Aid training, ORCKA, Red Cross Babysitting
*
Fundraising events do not include those approved fundraisers for activities through an external activity provider (such as sports or theatre tickets) or are planned to attract the general public and not a Girl Guide audience.
