Who can register for Girl Guides?

Girls born between 2002 and 2014 are eligible to join the organization. Girls are registered into a branch of Guiding based on their birth date. The branches and corresponding birth dates are listed below:

How much does it cost to join Girl Guides?

The membership fee for the 2019-2020 Guiding year is $175.00 per girl. The fee is payable at the time you submit the registration. Families who register three or more girls are eligible for a family discount (the first two girls registered would each pay $175.00; the third and subsequent girl(s) would pay $90 each for their memberships).

There is a $4.00 transaction fee that is processed each time you submit a new registration online. This is charged by the software provider to ensure security during the transaction and is not collected by GGC.

The membership fee is non-transferrable in that it cannot be applied to another girl or a future Guiding year.

If you are moving within Canada (either to a new city in your own province or to a different province) and would like to transfer your daughter/ward’s registration to a new unit, you can do so by logging into your family account for online registration and clicking “Select new group/unit” on your daughter’s registration dashboard. There is no additional cost to transfer your daughter/ward’s registration to a new unit.

Important: The membership fee is not pro-rated based on the date of registration and remains the same throughout the Guiding year. It is an annual fee to be a member of the organization, not a per-meeting fee.

What does the membership fee cover?

The membership fee covers your daughter/ward’s membership with the organization from September 1, 2019 to August 31, 2020.

By being a member, your daughter/ward can take advantage of our exclusive member benefits including:
  • Provincial, national and international trip opportunities
  • Scholarships
  • Engaging program, event and camp opportunities
  • Priority renewal for the next Guiding year

How is the membership fee utilized by the organization?

The membership fee for the 2019-2020 Guiding year is $175.00 per girl.

  • $24 goes directly to the girl’s unit to support activities, badges, crafts, etc. during the Guiding year
  • $60 goes directly towards the National membership fee
  • $91 goes directly towards Ontario Council and is used to support girls in Ontario. Learn more about how membership fees support girls in Ontario.

My family is in financial need. Are there subsidies available to offset the membership fee?

Yes. Subsidies are granted based on the financial need of the family. Eligible families can be subsidized up to $100 of the membership fee.

If you wish to apply for a membership fee subsidy, you can do so via the online girl membership registration system. You will need to make your unit selection and click “Proceed to Payment” – the “Apply for Subsidy” button is on the final payment screen.

Members are also eligible to apply for additional subsidies for camp programs and events, scholarships, and travel.

When can I register for Girl Guides?

Registration is completed through our online registration system. Please refer to the registration dates below to see when you can register your daughter/ward for the 2019-2020 Guiding year:

Thursday April 11, 2019 starting at 7:00 a.m. – open to current active girls returning to the same unit
Thurs May 2, 2019 starting at 7:00 a.m. – open to current active girls returning to the same unit or a new unit
Thurs May 30, 2019 starting at 7:00 a.m. – open to all girls (new and returning)

How do I register for Girl Guides?

Registrations are completed online via the online registration system. You can find units that have spaces available in your area in advance by visiting our online Unit Finder tool. You will also have an opportunity to select your daughter/ward’s unit as you progress through the registration system.

The registration process takes approximately 15 minutes to complete. The system is encrypted to ensure confidentiality of your personal information and to ensure that you may transmit payment securely.

Please Note: Only the parent/guardian of a girl may submit her registration. The online registration includes attestations that only a parent/guardian may agree to.

Can I pay membership fees in person to the Unit Guider? How do I register if I don’t have a credit card or computer?

No, membership fees should not be paid directly to the Unit Guider. Registration is completed online via the online registration system to ensure your daughter/ward’s spot has been secured in the unit and her name is added to the roster. Payment directly to the unit will delay processing and does not guarantee placement.

The online registration system accepts payment via Visa, MasterCard, Visa Debit and PayPal. If you do not have a credit card, you can set up a free PayPal account that links directly to your bank account.

If you experience difficulties completing the payment online, please contact the office and one of our team members will be in touch with you directly.

What information do I need at hand to register online?

Make sure you have:
  • An email account
  • A credit card (Visa/Mastercard) OR a PayPal account

Can my daughter join after September 1st?

Absolutely! Girls are welcome to register at any time during the Guiding year.

Registration is completed online via the online registration system and you can register your daughter/ward to any unit in your area that has spaces available at the time of registration.

If I register my daughter/ward part-way through the Guiding year, is there a discount?

What happens after I’ve submitted my online registration? How will I know that my daughter/ward has been registered?

You will receive an email confirmation outlining the details of your daughter/ward’s registration as well as a receipt for payment. Please remember to check your Spam or Junk folder in your email to confirm that you have received this email.

When you return to the dashboard, you should see that your daughter/ward’s registration card has been updated to say “Registered” and shows the details of her unit’s meeting location, day, time and start date.

The Guiding year begins on September 1, 2019 and unit meetings typically starting the third week of September. As these dates are confirmed, they will be updated as soon as possible. If the date is showing as TBD or is blank, we have not yet confirmed the unit meeting start date.

For registrations completed before September 2019, you can expect to hear from your daughter/ward’s Unit Guider by the second week of September. If you complete registration after unit meetings have started, you can expect to hear from your daughter/ward’s Unit Guider within a week of registration.

How do I change my mailing address, phone number or email address?

When you login to your family account for online registration, you can update your mailing address by clicking on your daughter/ward’s name from the dashboard.

To update your phone number and email address, please click “Account Details”.


Important unit questions


How do I know what unit to register my daughter/ward in?

The online girl membership registration system includes a Unit Finder which allows you to find a unit that is age-appropriate for your daughter/ward, that has available spots and that is on an evening or in a location that is convenient for the needs of your family.

If you are not able to find a unit that has availability that is suitable to your family’s needs, please consider our Lones program as an alternative to typical unit meetings. If you are interested in this option, you may register online. You will be able to find Lones units within the Unit Finder using the postal code P0M 1K0. If you need assistance, please contact us.

Please note: if a unit is full, you will be given an option to have your girl added to a waitlist. If you are notified that a space has become available, you will be given three business days to confirm your registration for that space. In fairness to others on the waitlist, if you do not claim the space within three business days, it will be offered to the next girl on the list.

What do I do if my daughter/ward's preferred unit is full? Can I join a waitlist?

Yes! Girls can be registered in an open unit and be waitlisted for their preferred unit or you can choose to simply wait on the waitlist for your preferred unit. To join a waitlist, create or login to your family account via our online registration system.

To join a waitlist only: When selecting a unit/group for your daughter/ward, choose the waitlist unit on the map and click “join waitlist”. You will be notified if a space becomes available for your daughter.

To register to an open unit and join a waitlist: Complete the registration process to register your daughter/ward into a unit with spaces available. Return to your daughter and click “Select New Group/Unit”. Select the waitlist unit on the map and click “Join Waitlist”. On your dashboard, you should see your daughter’s primary registration and waitlisted unit. You will be notified if a space becomes available for you daughter in the waitlisted unit.

My Pathfinder/Ranger would like to join a Trex unit. How can she join?

The online system will allow you to complete your daughter/ward’s registration into one unit and you will need to submit a request to add a second unit to her record once the registration is completed.

Please contact the office to have your daughter/ward added to the Trex unit. Requests for second units can be accommodated pending spaces available in the requested unit. Please ensure you include the name of the Trex unit when submitting your request.

How do I register my Pathfinder/Ranger to be a Girl Assistant?

If your daughter/ward is interested in assisting with a younger branch during this Guiding year, please contact the office for assistance. You will need to include the following information in your request:

  • Your daughter/ward’s name
  • The unit that she is hoping to assist with

Pathfinders can assist with Spark and Brownie-aged girls; Rangers can assist with Spark, Brownie or Guide-aged girls.

How do I transfer my daughter/ward to a different unit?

Once your daughter/ward is a registered member, she is welcome to transfer to a different unit at any time during the Guiding year, with the exception of when the online registration system is closed in preparation for the next Guiding year.

You can transfer your daughter/ward to a different unit by logging into your family account for online registration and clicking “Select New Group/Unit” from your dashboard in your family account. You can choose any unit that has spaces available at the time of transfer or, if your preferred unit is full, you can choose to add your daughter/ward to the waitlist.


Exceptions to online registration


I am receiving funding from a third party agency (e.g. Jumpstart) – how can I register?

Registrations for third party payments are completed by paper as the online system will only permit immediate payment in full (or balance less any applicable subsidies). Please contact girlreg.admin1@guidesontario.org to obtain a paper registration package if your daughter/ward’s membership fees will be paid partially or in full by a third party agency.

Can accommodations be made if I want to register my daughter/ward to a branch that differs from her birth year?

Guiding aims to be inclusive and accessible to girls of all ages and all walks of life. In all possible cases, girls are encouraged to be registered with their school-aged peers as the program has been designed to be age-appropriate for each level of Guiding. The online registration system will only permit registrations within the parameters of your daughter/ward’s age.

Requests for a different branch may be accommodated in cases of girls with special needs or if her grade differs from her year of birth. These types of requests must be made through the office and are not guaranteed. If you have questions about which branch would be a good fit for your daughter, please contact the office for assistance.


Cancelling membership


How do I withdraw/cancel my daughter/ward's registration?

We understand that sometimes plans change and you may need to make alternate arrangements, whether that is finding an alternate unit or withdrawing your daughter/ward from the program.

You can visit your online family account to transfer your daughter/ward to a new unit or contact the office to see if there are alternate units available in your area. We’ll be pleased to help you find the best possible option for your daughter/ward to continue in Guiding.

If you’d like to request a cancellation, please contact the office.

If my daughter/ward changes her mind and wants to cancel, can membership fees be refunded?

We understand that circumstances can change and we hope to provide all of the support needed to find a suitable alternative that works for your daughter/ward.

If you would like to choose a different unit, you can transfer your daughter to a different unit from your online registration dashboard by clicking “Select New Group/Unit” under your daughter/ward’s registration card.

A full refund, less a $20 administrative fee, is available if a request is submitted to the Ontario Council office before the fifth scheduled unit meeting. In cases where a girl joins after the unit meetings have already started, a refund less the $20 admin fee will only be considered before the fifth scheduled unit meeting from her join date. Refunds are not based on attendance at the unit meetings.

If the organization is unable to provide placement for your daughter/ward in a unit, or if a unit is closed due to low enrollment or unforeseen circumstances, a full refund will be issued.

You can review the full refund policy by clicking “Cancellation Policy” on your family account.

You can contact the office to request a cancellation.

Can the $20 administrative fee be waived?

No – all refunds are subject to the $20 administrative fee with the exception of refunds for units that have closed due to unforeseen circumstances.

The Guiding year (or unit meetings) hasn’t started yet. Can I get a full refund?

A full refund, less a $20 administrative fee, is available as long as the request is received by the provincial office before the fifth scheduled unit meeting. All refunds are subject to the $20 administrative fee, including before the start of the Guiding year, and this fee is non-refundable.

Can I get a refund if my daughter has only attended one meeting?

A full refund, less a $20 administrative fee, is available as long as the request is received by the provincial office before the fifth scheduled unit meeting. The fifth scheduled unit meeting is based on the unit start date (found on the family account dashboard).

If your daughter was registered after unit meetings started, a refund will only be considered if the request is received by the office before the fifth scheduled unit meeting based on your daughter’s date of registration. Refunds are not based on attendance at the unit meetings.

My daughter has been registered for more than five meetings. Can I get a refund?

Refunds are only available if requested before the fifth scheduled unit meeting.

I let my daughter’s Unit Guider know that she was not returning. Why have I not received a refund yet?

Refunds for membership fees are processed by the Ontario Council office. Parents/guardians are responsible to advise the office if they wish to cancel their daughter’s membership and receive a refund of the membership fees for the Guiding year. Unit Guiders cannot initiate this process on your behalf.

My credit card that I used for the original payment is no longer active. How can I receive my refund?

Refunds are applied in the form in which the original membership fee was paid, therefore if your credit card or PayPal account is no longer active, you need to request a refund by cheque. You can verify that the correct mailing address is listed on your daughter’s account by clicking your daughter’s name on your family account dashboard.
