Booking terms and conditions
Payment Process & Cancellation Policy
Payment Process & Cancellation Policy for Girl Guides of Canada renters:
Payments are transferred directly from the booking group's GGC Nationwide Banking Account. The booking fee is due immediately upon booking. The site rental fee is due 7 days after the site use date. Please ensure your account has sufficient funds.
If you have rented equipment, the total cost may be affected by your actual number of participants and/or equipment use. In this case, the cost will be adjusted as applicable, when you notify ANY-PropertyBookings@girlguides.ca of your actual equipment usage. If this notification is received after payment date stated in your invoice, the balance amount as stated in the invoice will be taken out of the Unit Banking Account and the appropriate payment adjustment will be made separately and directly to the Unit account at a later date.
The booking fee is non-refundable. Bookings may be cancelled until 45 days prior to the date of site use. If a group cancels their booking less than 45 days prior to the date of site use, the group will still be required to pay the site rental fee unless another group can be found to take over the booking.
If a rental has to be cancelled by Girl Guides Calgary Area for safety reasons (ex. highway travel is not recommended), the booking group can reschedule to another available date within the current Guiding year. Please note that the option to reschedule does not apply if a camp is cancelled due to lack of Safe Guide approval. To cancel or reschedule a booking, contact ANY-PropertyBookings@girlguides.ca.
Payment Process & Cancellation Policy for Non-Guiding renters:
Payments can be made by cheque or credit card.
Non-Guiding renters are required to sign a License Agreement for the use of Girl Guides of Canada-Guides Du Canada Facilities. The License Agreement will be sent by separate email. A booking fee equal to one-third of the total rental cost plus GST will be required to hold your booking pending return of the signed License Agreement. The License Agreement must be signed and returned to Girl Guides of Canada at ANY-PropertyBookings@girlguides.ca within 7 days of receipt of the License Agreement or the booking will be cancelled and the booking fee will be refunded.
Upon return of the signed License Agreement to Girl Guides of Canada, the booking fee will become non-deductible, non-transferable and non-refundable. For all other rental fee payment details and cancellation policies, see the License Agreement.
