Sandy Lake is one of two Edmonton Area camps, and is located at Sandy Beach, 60km northwest of Edmonton.

Orientations

It is a requirement of the camp rental agreement for all groups that someone be in attendance at the camp who has had this orientation session. There is no charge to attend the orientation. Pre-registration is required. To register, email ANY-PropertyBookings@girlguides.ca. Additional costs may be involved for private orientations outside of the set dates.

During the session, participants tour all the sites at the facility and are shown various emergency and maintenance procedures relating to buildings or equipment. Camp cooks (kitchen staff) are required to have the orientation if you are renting Trefoil House.

Camp orientation is valid for a period of five years, and is recorded on your iMIS record. If you are a frequent camper to a certain facility, re-orientation may be available through a phone interview with our Facilities Adviser.

Orientations start at 3 p.m. Guiders to meet at Hilltop House (dress for the weather). The orientation takes an hour to an hour and a half.

    Equipment available for rent

    Please note that booking confirmation for equipment will depend on availability. Please submit the Equipment Request form to reserve this onsite equipment for your unit or event.

    Archery

    $3/Guide for equipment rental.

    While there is not an established archery range at Sandy Lake, campers can still take part in archery activities. Two complete sets of archery equipment are available for range use. Qualified Archery Leaders can be booked, from April to October to run ranges for the girls. A core team of Archery Leaders mentor the QAL’s, provide coaching assistance, monitor and maintain the equipment, provide for range time to further personal archery skills and promote the program. Archery is for the Guide-aged girls and older. An On-Target Archery Challenge has been developed to further enhance the program. Crests are available for purchase through the Edmonton Area. Contact the Property Booking Coordinator to book range time at your camp. You will be asked to fill out a request for the archery equipment. There is a deposit required to use the equipment and a $3.00 fee for each archer, payable after the camp. A Qualified Archery Leader will contact you to discuss the range times, age and experience of the girls and any program related themes that can tie into archery. A typical time block for a group of 15 girls, will be one and a half to two hours in length, plus set up and take down of the range. We do not rent our archery equipment to anyone outside of Edmonton Area Guiding.

    Snowshoes

    $0.50 per pair/day. Snowshoes are located in the Cottage (the first building on the left side of the main trail to site #4). Instructions, games and history information is available on site. Groups who would like to use the snowshoes need to make amenable arrangements between other campers on site for times and equipment use.

    Payments

    Payments and cancellations

    Should this camp be cancelled less than 60 days prior to the date of camp:

    • If alternative renters are NOT secured, the minimum fee per night will be charged.
    • If alternative renters are secured, the booking fee minus the administration fee will be refunded.

    If written notice of your cancellation is received prior to 60 days before your scheduled booking, the booking fee that you initially paid, less the administration fee will be refunded.
    Changes CAN be made to your booking before the cancellation date with written notice. Camps are NOT transferable after the cancellation date.

    The booking fee is due within 10 days of requesting a site, and the payment of this fee solidifies your reservation. If the booking fee is not received within the 10 days of the booking request, the site will be released. Within the 10 days, should another party inquire about the site you have requested and your booking fee is not yet paid, you will be given 24 hours to pay the booking fee, or the site will be released to the other party. Please note that the administration fee is non-refundable.

    Within five days after your camp, please contact the Property Booking Coordinator with the number of campers attending your event, and we can promptly send you an invoice detailing your final fees. If we do not receive attendance numbers within the five days, we will issue an invoice for the MAXIMUM capacity of campers for that site. Additional cleaning by Facilities Personnel will be charged out at $25 per hour. Final fees are due within twenty one days following your camp. Any overdue accounts will be assessed a 5% late charge, and any future bookings will be released.

    To confirm a booking you need to pay:

    • an administration fee (non-refundable)
    • a booking fee calculated per night per building/site requested
    • a damage deposit (if applicable)

    The booking fee which your group initially paid to confirm the camp booking will be applied to the final camp fees calculated following your visit. Your camp fees will be calculated at the applicable per-person/per-night rate, unless that amount calculates to be below the “minimum fee per night” for the facility which you are using, in which case you will be charged the minimum fee/night. Depending on your occupancy, therefore, you will be invoiced either for the minimum fee per night OR a rate per person per night, not both.
