May 17 – June 6, 2018 Performer & Speaker Video Application Submission

Girl Guides of Canada–Guides du Canada ("GGC")’s performer & speaker video application submission process (the “Submission”) is conducted by GGC's National Office, 50 Merton Street, Toronto, Ontario, M4S 1A3. By participating in this Submission, all applicants accept and agree to these rules and regulations and accept the decisions of GGC as final in all matters relating to the Submission.

SUBMISSION PERIOD

The Submission period runs from Thursday May 17, 2018 at 9:00a.m. EST to Wednesday June 6, 2018 at 11:59 p.m. EST.

ELIGIBILITY - WHO MAY SUBMIT AN APPLICATION

You may submit a maximum of one (1) application if you are a current Girl Member of GGC in good standing, who is able to travel to one of the three (3) Nationally Sponsored Girls First launch parties (in Toronto, Vancouver and Moncton) on September 29th, 2018.. (For greater certainty, an ability to travel means that an eligible applicant has or will have prior to the travel date:  (i) the written permission of her parent or legal guardian in form and substance acceptable to GGC in its sole discretion, (ii) all required travel documents, if applicable and (iii) the means of making and financing their own transportation arrangements.)  All applicants must provide GGC with their iMIS number to verify current membership. Before being selected, the applicant must sign GGC’s standard forms, including the Code of Conduct, confidentiality, and conflict of interest forms.

HOW TO APPLY

Each applicant is eligible to upload a video application submission between the dates of May 17, 2018 and June 6, 2018.  Each application consists of a submission form and one video file to be uploaded. Each applicant is eligible to upload one (1) submission of a video file to the submission site. To apply, fill in the submission form with the required information. All form fields marked with an asterisk (*) are required. Only applications submitted online through the submission form  will be eligible.

The only method of submitting your application is by online entry (internet access required); no other means of submission will be accepted. If you need assistance with uploading your video application submission, please contact National Events at the email indicated below.

All applications must be submitted and received by Wednesday, June 6, 2018 at 11:59 p.m. EST.

PERFORMER & SPEAKER SELECTION

Selections will be conducted internally. A select number of finalists will be chosen by a committee of GGC staff and volunteers. GGC reserves the right to gather personal information from applicants, such as name, contact details, age and branch level, to be used for the purposes of administering the application process and selecting the performers & speakers. In the case of the selected performers & speakers, correspondence will take place between GGC and the participant. Before being announced as a final performer or speaker, each selected applicant must sign or have her parents or legal guardians sign GGC’s consent form authorizing the travel. Failure to sign GGC’s consent form will result in disqualification.

FINALIST NOTIFICATION

Finalists will be notified by email and/or phone. If no response to any such email or telephone inquiry is made within seven days of the date on which it was first made, the finalist will be deemed to irrevocably forfeit the position and a new finalist application may be selected. All decisions of GGC representatives are final.

OWNERSHIP

Girl Guides of Canada will own all application submissions in perpetuity including all intellectual property rights and reserves the right to use all application submissions, including but not limited to all artwork, designs, pictures and any other ideas from the selected application  for marketing and public relations purposes, within the scope of the Performer & Speaker Video Application Submission The performers & speakers must sign a waiver of moral rights document to give effect to the above, and any other documents, upon request by GGC.

The Submission is subject to all applicable provincial, federal, local laws and regulations. By submitting an application, all applicants permit GGC to use the collected information (first and last name, partial address [i.e. City and Province] and video(s) submitted) from the Submission for marketing and advertising purposes, including repurposing the entry as online content. By submitting an application for the Submission, each applicant consents to the use of her name, city of residence, Guiding unit, photograph, voice, likeness, image or any other aspect of her personality for any publicity and programming purposes, commercial or otherwise, throughout the world, in all media, in perpetuity, including but not limited to social media, publication in magazines and brochures, blogs and websites by GGC, without any obligation, notice, payment or compensation.

LIMITATION OF LIABILITY

By submitting an application for the Submission, the applicant (or if the applicant is a minor, her custodial parent or legal guardian on the minor's behalf) agrees that GGC, its directors, officers, employees, volunteers, independent contractors, representatives, licensors and agents and advertising and promotional agencies (collectively the "Releasees") shall have no liability and shall be held harmless by the applicant (or if an applicant is a minor, her custodial parent or legal guardian on the minor's behalf) for any damage, loss, or liability to person or property, due in whole or in part, directly or indirectly, by reason of participating in the Submission, or while preparing for, participating in any Submission-related activity, including, without limitation, any financial, legal or moral responsibility or loss or loss of property suffered or incurred or arising from participating in the Submission, whether suffered by a finalist, or by her heirs, administrators, personal representatives or executors, and notwithstanding that such injuries or losses may have been caused solely or partly by any act, omission, negligence or gross negligence of any or all of the Releasees.

GGC reserves the right to cancel, suspend, terminate, and/or modify these rules and regulations or the administration of the Submission, in whole or in part, without prior notice and with no obligation or liability. GGC assumes no responsibility for lost, stolen, destroyed or otherwise indecipherable applications due to any failure or technical malfunction of the network, online computer systems of equipment, servers, access providers, software, poor reception, technical problems, failure of any email or submission or due to any other reason regardless of cause.
