Desktop Support Analyst

Girl Guides of Canada is seeking a Desktop Support Analyst

About this Opportunity

The Desktop Support Analyst reports to the Team Lead, Infrastructure and Network and will collaborate with the IT team to support our users and maintain our IT systems with a focus on laptops, desktop, and mobile devices. The successful candidate will be skilled and up to date with the latest IT trends.

In this role, you will:

  • Setup and deploy, redeploy, repair, and maintain laptops and desktops.
  • Onboarding, changes and offboarding of users from our IT systems according to GGC procedures.
  • Ensure all desktops and laptops are patched in a timely manner.
  • Monitor ticketing system, ensure tickets are appropriately assigned and responded to within target times.
  • Monitor quarantine taking care to identify and release only legitimate emails.
  • Office 365 user administration.
  • Tracks, and keeps current a database of IT Assets; a hardware and software inventory shared with the IT team
  • Learn and maintain skills and qualification for IT systems used by GGC.
  • Coordinate with the facilities team to safely ship (and receive) devices to (and from) our end users
  • Monitor manage engine desktop central to pre-emptively address problems with endpoint devices (e.g. low disk space, missing/failing updates, disk errors).
  • Monitor the health of onsite network and server equipment and internet connections.
  • Diagnoses and resolve minor network issues.
  • Contribute to revisions of procedures and guidelines relevant to the role.
  • Help ensure use of IT systems are in compliance with IT policy, standards, procedures, guidelines
  • Monitors GGC ticketing system, ensuring timely resolution and that these are closed once completed. Follow escalated tickets to ensure these are completed.
  • Monitor IT Partners ticket system and comment with supporting information to help ensure speedy resolution or escalated these to internal ticketing system when required.
  • Provide one-on-one end user support by Zoho assist, MS Teams/phone, e-mail or in person for computer- and equipment-related problems, talking users through procedures to diagnose the source of problems, answering questions about how to use software and e-mail and in operating equipment, communicating in a user-friendly way based on the experience and knowledge level of end users
  • Create and maintain and share knowledge base guides for how to resolve common issues.
  • Prioritizes issues to ensure appropriate response time based on severity. Take responsibility for the quality and timeliness of resolution.
  • Technical support for equipment at camps and other properties.
  • Assist with Office 365 and basic device support for provincial volunteers.
  • Assist the digital adoption and training specialist in developing and providing training when required.
  • Ensures all antivirus/antimalware/MDR, anti-spam are active and maintained on desktops and laptops.
  • Ensure strong passwords are used and MFA is enforced where possible.
  • Assist in monitoring quarantine taking care to identify and release only legitimate emails.
  • Proactively identify opportunities to improve our IT systems and processes so they are best practice. Work with the team to implement approved changes.
  • Be mindful of risks to our information, systems, and processes. Be on the lookout for unidentified risks and bring these to the attention of the Information Security Analyst, Senior IT Administrator, and Senior IT Manager when discovered.
  • Stay up to date with developments in the industry.

You are the ideal candidate if you have:

  • Post-Secondary degree in IT or related discipline or equivalent skill gained through relevant industry certifications and experience
  • 2+ years of experience in a desktop support, IT support, or Generalist role or comparable role
  • Experience administering and endpoint management solution
  • Computer software proficiency with MS Office Applications.
  • Strong analytical and problem-solving skills with superior attention to detail and accuracy.
  • Excellent Time management skills with the ability to prioritize and meet tight deadlines.
  • Excellent communication skills, both verbal and written.

About This Opportunity

As part of the national Marketing and Communications team, the Email Marketing Communications Specialist will report to the Team Lead, Provincial MarComm Support and will work cross-functionally with internal teams to strategize, develop, and manage effective communications, meeting our girls, caregivers, volunteers and potential new members where they are and ensuring they have the necessary information to make the most of opportunities within Guiding.

This is a unique role that blends both skills in direct email marketing and understanding of consumer journeys with the storytelling ability of a communications professional. You will be developing compelling emails and email journeys to drive new member acquisition as well as ensuring current members and families are connected with Guiding initiatives throughout the year. With a strong attention to detail, a dash of creativity and a level head under pressure, you will be very successful in this role.

Roles and Responsibilities will:

  • Provide strategic counsel in the development of integrated email communications strategies for members, caregivers, volunteers and external audiences with a particular focus on member retention and new member acquisition.
  • Develop end-to-end email campaigns, set triggered messages, manage list segmentation strategies, develop and execute automated journeys for lead generation.
  • Imagine, design and create compelling visuals and copy to engage target audiences with clear calls to action.
  • Evaluate the effectiveness of email deployments, provide regular performance reporting and full campaign analysis, and make ongoing recommendations, including but not limited to, metrics analysis, A/B testing, enhanced use of graphics, updating templates and editorial goals, etc.
  • Capitalize on strong knowledge and understanding of GGC’s mission and programs to effectively communicate the organization’s value proposition to audiences.
  • Represent the email marketing position among cross-functional partnerships, presenting recommendations for program enhancements and new initiatives in order to meet goals.
  • Understand the needs of members, caregivers and volunteers to offer the clearest, most compelling messaging and ensure that the best communications channels and tactics are used.
  • Provide guidance to members, volunteers and staff on email communications best practices, GGC’s policies and guidelines related to communications and brand, and the use of GGC’s brand for communications purposes.
  • Collaborate with other members of the Marketing and Communications team and provincial volunteers to deliver world class products.

GGC is seeking an Ontario Cookie Sales Liaison, who will be reporting to the Revenue Team Lead, Cookie Logistics. This role will help provide provincial support for the Girl Guide Cookie campaigns.

Roles and Responsibilities will:

  • Provides direct support to Ontario Council in working closely with the Provincial Cookie Adviser, Provincial Commissioners, Provincial Treasurer and Provincial Team Lead specific to the cookie program.
  • For both the spring and fall cookie campaigns, monitors the campaign implementations and ongoing results against plans and goals; ensures all Nationally provided deadlines are met.
  • Works directly with the Revenue Team with an Ontario specific lens in implementing cookie campaign logistics, ensuring all campaign deadlines are met by the province.
  • Works with external organizations to identify new selling opportunities across Ontario to ensure continued growth of cookie sales within Ontario.
  • Manages location capacities and supports Cookie Receivers to accommodate growing cookie sales.

  • Develops reports for Ontario Council in partnership with the Provincial Cookie Adviser outside of the regular campaign debriefs and monthly meetings with all Provincial Cookie Advisers
  • May need to attend Council events as required and may prepare/deliver information or presentations.

  • Provides active, year-round support to volunteers, taking into account the individual needs and requirements of each volunteer to enable them to deliver their mandate.

Property Caretaker (Permanent – Part time)

Girl Guides of Canada is seeking a Property Caretaker (Permanent – Part time)
Camp Kanada, 600 West Petpeswick Rd, Musquodoboit Harbour, Nova Scotia

About This Opportunity

Reporting to the Legal Specialist (or assigned designate i.e. Property Chair or committee member, in this role, you will be a part of Camp Kanada. As Property Caretaker, your overall goal is to ensure that the properties are in safe working order for the use of members and/or third-party renters.

In this role you will:

  • Work collaboratively with volunteers to ensure that the properties you support are maintained in good working order.
  • Perform regular inspections and make basic repairs when possible.
  • Coordinate and manage third-party contractors to perform tasks that require specialized knowledge and/or experience.
  • Perform annual tasks associated with opening and closing of the property when applicable.
  • Be available on call on weekends or when camp in use during the week for summer camps to respond to emergencies as reported by camp users (or notify HRCMC Chair one week in advance when not available).
  • Ensure camp building is accessible prior to each camp e.g. walkways shovelled and sanded (winter maintenance)
  • Complete a full property inspection after each camp, confirming key returned to lock box(es), forward copy of the rental group’s check-out list, and submit a report of any deficiencies to the HRCMC Oversight immediately after the inspection.
  • Submit a drinking water sample test quarterly, and chemical test biennially, to Twin Oaks Hospital lab using the GGC Client number and account code.
  • Perform annual tasks associated with mechanical and/or equipment maintenance as applicable. 
  • Purchase required supplies within approved spending limits for the camp e.g. sand, tools, lawnmower gasoline, using the GGC Visa and submit receipts to HRCMC Treasurer within 14 days.
  • Other duties as assigned.

General:

  • Adhere to all relevant policies, procedures, and practices.
  • Liaise with other departments as required.
  • Provide general, ongoing support to members/volunteers, responding to/directing inquiries and consulting with the appropriate groups and individuals to support the mission and vision of GGC.

Requirements: 

  • Knowledge of property management principles
  • The knowledge and ability to operate hand tools, machinery (ride on lawn mower, whipper snipper, etc.)
  • Ability to deal with or identify how to deal with common problems related to plumbing, electrical, septic systems, propane systems, appliances, motors, etc.
  • Physically able to perform a variety of general maintenance and repair work.
  • Good interpersonal and communication skills
  • Some heavy lifting required, bending, kneeling, standing for extended periods of time, comfortable with ladders.
  • A valid driver’s license and a driver’s abstract that meets the requirements of GGC-GduC's insurance provider (3-year clean record)
  • Basic computer skills include the ability to communicate by email, scanning, forwarding a photo of completed camp check out sheets, purchase receipts and payroll documentation etc.

The Team Lead, Accounts Payable will:

  • Team leadership for AP team: reviewing, training, coaching, moral building; timely and accurate processes.
  • Oversight of vendor set-up: compliance with new vendor internal controls, ensuring accurate set-up for group set, account set,tax group, payment terms, and banking/payment information.
  • Oversight of AP team data entry of invoice information, ensuring invoices appropriately approved, entering into the accounting system, and ensuring appropriate coding, pricing, and compliance to expenditure policies.
  • Accurate preparation of invoice batches to be paid, manage payment runs, including cheques, EFTs, billpayments, wiretransfers, and credit cards.
  • Record management of AP function: organize retention of documentation for quick reference and audit support.
  • Client support: timely and professional follow-up with internal clients and vendors for all queries including late or missing payments.
  • Process improvement to streamline activities, improve efficiencies, reduce missed or late payments, complete process documentation.
  • Complete month end procedures for accounts payable sub ledger and general ledger reconciliation
  • Handling bank transactions: process and prepare bill payment, inter transfer and ACH payment in bank.
  • Audit working files: prepare and maintain monthly working files for AP Aging, Accrued Liabilities, AP clearing Account and other Accounts Payable related continuity schedule.

About This Opportunity

As part of the national Marketing and Communications team, the Provincial Communications Coordinator will report to the Team Lead, Provincial MarComm Support and will work cross-functionally with internal teams. Roles and Responsibilities will:

Qualifications:

About This Opportunity

Reporting to the Camp Olave Management Committee (COMC) Personnel Coordinators, in this role, you will be a part of the Camp Olave Summer Staff Team. With over 1500 meters of ocean beach overlooking the scenic Georgia Strait, this position will allow you to play an important part in the girls’ fun, friendship,adventuresanddiscoveryatCampOlave.Thecamphasbeenoperatingfor95yearsproviding avarietyofcampingexperiencesforgirls.Inthisexcitingpositionyourmainresponsibilitywillbetoensure thesafetyofparticipantsinallwaterfrontactivitiesincludingswimming,kayakingandcanoeing.Additionally, you will support other activities in the camp such as leading girls through various nature programs and specialevents.

In this role you will:

  • Ensure the safety of participants in all waterfront activities such as swimming, kayaking and canoeing by:
  • Maintaiing a safe swimming area
  • Instructing all participants in waterfront safety as it pertains to the activity.
  • Completes daily inspections of the waterfront safety equipment, first aid kits, boathouse, boats and related equipment and reports any concerns or deficiencies to the Personnel Coordinators.
  • Establishes and implements special events (e.g. Sandcastle building, campfire) in cooperation with the Personnel Coordinators.

Assists with nature programs for campers by performing such duties as:

  • Demonstrating activities and displays in the Nature House
  • Leading nature walks on the beach and along trails.
  • Conducting evening nature programs such as a introduction to astronomy
  • Orienteering activities
  • Ensuring that the self-guided nature materials (located in the office) are always ready for use and providing orientation in their use for Guiders.
  • Trains Guiders to the archery program so that they may safely lead their own Unit in the activity.
  • Facilitates the Low Ropes course in coordination with the Low Ropes Site Manager
  • Performs other related duties as assigned.

Requirements:

  • Current NLS Waterfront Award. Candidates with NLS Pool are welcome to apply and if hired the NLS Waterfront course fee will be reimbursed upon successful completion.
  • Resume and reference letters documenting at least 2 years (or 750hours) of employment experience in a similar position.
  • Current Standard First Aid and CPR certification
  • Paddle Canada Intermediate Lake Skills Tandem, or equivalent courses in your Province or Territory, or reference letter and documented experience that includes righting and re-entry into a capsized boat*
  • Paddle Canada Sea Kayaking Skills Level 1, or equivalent courses in your Province or Territory, or reference letter and documented experience that includes righting and re-entry into a capsized boat*

Starting Hourly Salary:

In May and June, you'll work waterfront shifts on Fridays, Saturdays, and Sundays for $26.50 per hour. In July and August, all job duties assigned will pay $26.50 per hour for a 40-hour workweek.

About the Opportunity

Reporting to the Ontario Provincial Operations Team Lead, the Projects Coordinator, Ontario along with the Provincial Operations team will provide support to Ontario Council. This role will work collaboratively with provincial and national staff, and senior provincial volunteers to ensure the successful planning and execution of provincial projects and initiatives.
